What you get each month
- Every bank, credit card and payment-processor account reconciled to its statement
- Every transaction coded to your chart of accounts, with questions sent to you in one list
- A profit and loss statement and a balance sheet for the month and the year to date
- Deposits matched to your sales records, so missing or doubled income shows up early
- A short note on anything unusual, and what we need from you before the next deadline
Why monthly, not once a year
Books caught up once a year tell you what already happened. Books closed every month tell you whether you can afford the hire, how much to set aside for estimated tax, and whether a customer stopped paying. They also make the tax return faster and cheaper, because the work is already done.
Catch-up bookkeeping
If months or years were never reconciled, we catch them up first, at a fixed fee agreed in advance, and then move you to the monthly rhythm. Catch-up is often needed before a late tax return, a loan application or an S corporation election.
What we need from you
- Read-only access to your bank and card feeds, or the monthly statements
- Receipts and invoices in digital form — photos are fine
- Your sales reports from the point-of-sale system or payment processor
- Last year's tax return and, if you have one, last year's balance sheet
Software
We work in Xero and build our own Python scripts and Excel macros for reconciliations and recurring entries. If you already use other accounting software, tell us which at the introduction.
Questions
How much does bookkeeping cost?
From $200 a month for individuals, sole proprietors and single-member LLCs, set by your monthly transaction volume. Businesses with payroll or higher volume get a written quote after we look at their records.
Can you take over from my current bookkeeper?
Yes. We start from your last reconciled month and the prior-year return, and coordinate the handover of files.
Do I have to be in Bedford?
No. The work is online. In the Hurst–Euless–Bedford area we can also meet in person by appointment.
